How to convert a distribution list to a shared mailbox

If you're wondering how to change your distribution list to a shared inbox (called a shared mailbox in Outlook), you've come to the right place.

Introduction

Collaboration and teamwork are essential in today's business landscape, and Outlook has improved this with features like shared mailboxes and distribution lists, making it easier to engage with colleagues. While converting a distribution list to a shared mailbox can provide significant advantages, the process isn't always straightforward. This step-by-step guide walks you through converting a distribution list (or an individual user mailbox) into a shared mailbox.

Distribution lists vs. shared mailboxes

Distribution lists are essentially a collection of email addresses where a single message sent to the list address is forwarded to all recipients. Unlike shared mailboxes, message history and replies cannot be seen by members of the distribution list. Replies that come from the distribution list are typically from a personal email address, rather than [email protected].

A shared mailbox allows multiple users to access the same data in one centralized mailbox. Everyone with access to the mailbox can read, reply, forward, and send new emails from the mailbox address. This is key in collaborative work environments because it allows team members to see which emails have been replied to and what those replies were. With greater transparency, shared mailboxes reduce the risk of duplicate replies and improve your customer service.

How do I convert a distribution list to a shared mailbox?

Although there are many ways to achieve this, the steps below outline the best and easiest method using the Microsoft 365 admin center.

You'll need Microsoft 365 admin permissions and access to the Microsoft Exchange admin center.

Step 1: Update the existing distribution address

Updating the existing distribution address to a different address is important because it frees up the distribution address to be created as a shared mailbox. This won't work if the email address is already a distribution list address.

Step 2: Create the shared mailbox

Go to Recipients > Shared > Add a shared mailbox. Enter the distribution address that you just emptied in Step 1, along with a name for the shared mailbox.

Step 3: Add team members and permissions

This is when you add team members to the mailbox. Refer to the employees who were on the old distribution list and add them to the mailbox by clicking Add and setting their permission to either Full Access or Send As.

Maximizing efficiency in shared mailboxes

While shared mailboxes in Outlook provide basic collaboration, they often lack the advanced features needed for seamless teamwork. Emailgistics enhances team collaboration, customer satisfaction, and productivity while providing real-time key metrics and insights into your team's performance.

With the Office 365 add-in, your team can route emails to the right person and leave comments all within Outlook. This means your customers no longer have to repeat themselves to different people to get their issues resolved. A comprehensive conversation history provides details such as when messages are received, assigned, commented on, replied to, snoozed, or archived.

Plus, a customizable dashboard helps motivate your team by showcasing important metrics, including inbound and outbound message volume, reply times, user workload, and more. With Emailgistics, you can set business hours for each shared mailbox and track SLAs effectively. Alerts for unanswered messages mean you don't leave any emails behind.
