Outlook allows users to better manage and organize their inboxes by creating folders for emails. These folders can help categorize incoming mail to reduce the amount of clutter in the inbox. Users can also create rules to automatically forward, prioritize, mark as read, delete, or move emails to a folder.

2. Cloud storage

Although both email providers offer cloud storage for users, Outlook Desktop is quite generous with its storage amount. Office 365 Business users get 50 GB of mailbox storage and 1 TB of cloud storage on OneDrive. In comparison, Google Workspace users receive 30 GB of mailbox storage.

3. Keyboard shortcuts

As a web-based email service, Gmail is limited to the capabilities of the browser application, whereas Outlook can be installed as a desktop email client and thus is not limited by the browser. As a result, Outlook allows users to take advantage of commonly used shortcuts (or hotkeys) such as CRTL + N (to create a new email).

4. Calendar and contacts

Two of Outlook’s best features are its calendar and contacts list. Outlook allows you to manage contacts through simple navigation and keyboard commands, making it quick and easy to find contacts. 

It’s also incredibly easy to access your calendar in Outlook, add meetings or private appointments, and share calendars. In contrast, a Gmail user must access their calendar separately in Google Calendar.

5. Access to Office 365

Although Google Workspace (formerly G Suite) has created web-based products like Google Drive, Google Docs, Google Slides, and Google Sheets, Office 365 still reigns supreme. Microsoft Word, Excel, and PowerPoint are powerful software applications with OneDrive cloud storage and personal drive storage options.
