Assignment Options and Max Messages For Users
In Emailgistics, administrators can fine-tune the message distribution and assignment settings for users within a mailbox. These settings are located in the Users section of the mailbox settings, under the Automatic Assignment section.

Here’s an explanation of the available options
- Maximum Messages
- This setting determines the size of the user’s queue for automatic message distribution.
- It is recommended to set this to a range between 3 to 5 messages. This balance ensures a continuous flow of incoming messages without overwhelming a single user with a large volume of emails.
- Importantly, this setting exclusively affects incoming emails distributed through the automated distribution algorithm. It does not impact messages assigned to users via the “Assign to Previous Owner” settings or by rules.
- Don’t Auto Assign Option
- Selecting this option prevents incoming messages from being automatically assigned to the user.
- This option is useful for scenarios where certain users, such as mailbox administrators or specific individuals, should not have messages automatically assigned to them.
- It disables assignment via both automatic assignment methods (round-robin and load-balanced), while not affecting assignment by rules.
- Allow Customer Replies
- This setting controls the ability to auto-route replies from previous messages to the user based on the “Assign to Previous Owner” settings for the mailbox.
- When turned off, it prevents customer reply assignment for the user.
- Enabling this option ensures that replies from previous messages are automatically routed to the user, streamlining communication and follow-up.
These settings provide mailbox administrators with granular control over how incoming messages are distributed and assigned within the Emailgistics environment. By adjusting these options, administrators can tailor the workflow to suit the specific needs and preferences of their organization.
