Module 2: Converting mailboxes and distribution lists to Shared Mailboxes in O365
Here is a quick and simple guide to converting a User Mailbox to a Shared Mailbox.

Follow these 7 easy steps to convert your User Mailbox to a Shared Mailbox
- Open a web browser and go to https://portal.office.com. Once there, sign in with your Exchange administrator credentials.
- Click on Admin to get to the Microsoft 365 Admin Center
- Click on Users, then Active Users in the left panel
- On the right, your list of users will appear. Click on the user you wish to convert to a shared mailbox. You should see something similar to this
- Click on Mail, and scroll down and click on “Convert to Shared Mailbox”
- Press the convert button on the screen that appears
- The mailbox should now be converted and ready for use with Emailgistics. Click “Close” to end the process.
So, how do I convert a distribution list to a shared mailbox?
Although there are many ways to achieve this, below is the best and easiest method.
Using Microsoft Admin Console
With this, you need to have Microsoft 365 admin permissions and access to the Microsoft Exchange admin center.
- Update the existing distribution address
Updating the existing distribution address to a different address is important because it frees up the distribution address to be created as a shared mailbox. This won’t work if the email address is already a distribution list address. - Create the shared mailbox
To do this, go over to create a shared mailbox and click Recipients > Shared > Add. Here you can enter the distribution address that you just emptied in step 1 and a name for the shared mailbox. - Add team members and write permissions
This is when you add team members to the mailbox. You can refer to the employees in the old distribution list and add them to the mailbox by clicking Add and making their permission either Full Access or Send As.
