Emailgistics is committed to the responsible use of information and protecting individual privacy rights on http://emailgistics.com and through our software services. We aspire to protect customer privacy through the design of our products and processes and through other information security safeguards. We also strive to promote transparency through customer education initiatives, privacy principles and policies, and appropriate opportunities for customer choice, access, and correction with respect to personal information accessed or stored within our Infrastructure.
What personal data we collect on the website and why we collect it:
Contact forms
When you fill in a form requesting information, submitting a support request, or interacting in any other way with Emailgistics, the site generates an email which is sent to Emailgistics staff. Your email address may be distributed within Emailgistics’ support, marketing and sales teams in order to respond to your form submission in the most appropriate way. We also collect your IP address and browser user agent string in order to help prevent spam.
Comments
When visitors leave a comment on articles anywhere on the site we collect the data shown in the comment form, and also the visitor’s IP address and browser user agent string (to help spam detection).
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.
Data usage and privacy policy for SaaS application
In order for Emailgistics to function properly, it uses information contained in email traffic to and from Microsoft Office 365 shared mailboxes that the customer has onboarded to Emailgistics, including email header data, message body, and subject line. Emails remain on the customer’s Office 365 tenant hosted by Microsoft. Customers grant access to these emails via access tokens explicitly granted by the customer to Emailgistics in accordance with access policies governed by Microsoft for this express purpose. When a Microsoft Office 365 shared mailbox is onboarded into Emailgistics, information is exchanged between Emailgistics and the customer’s Office 365 tenant hosted by Microsoft, including limited information about the users participating in the shared mailbox (such as name and email address). Emailgistics stores a subset of message and user data on its servers to facilitate rules processing, user management and reporting. Emailgistics does not store the body of messages nor any message attachments. Emailgistics maintains industry standard application logs used for routine maintenance and defect remediation. All log files are subject to the same security protocols used to secure all customer data.
Emailgistics’ support personnel do not have access to the email accounts of the users participating in shared mailboxes onboarded in Emailgistics. Emailgistics can only access email on shared mailboxes it has been given express permission to access. In situations where it may become necessary for an Emailgistics support agent to access a user account, this will be accomplished through a guided screen-sharing session, and only with the express permission of the organization governing that account. Emailgistics will never request username/password credentials for any account. All user are authenticated directly with Microsoft Office 365.
Emailgistics follows generally accepted security standards, and deploys appropriate technical and organizational measures to protect and secure the customer data that we collect and process. These security and privacy practices, including how we collect, protect and secure customer data, are outlined in Emailgistics’ Terms of Service.
Financial data, including billing information and credit card details, are held on a secure platform. Emailgistics makes every reasonable effort to ensure the security and integrity of customer financial information. In the unlikely event of a data breach, Emailgistics undertakes to be transparent and honest with customers about the nature and scope of any such breach.

Who we share your data with
Some of the systems that Emailgistics uses to manage customer data are hosted by third party providers. In accordance with those organizations’ own privacy policies, your data is protected within those providers’ infrastructure. Emailgistics will not sell, give away, or otherwise share your data with any other third party. This includes personally identifying data that you may enter on web forms on this website.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
What rights you have over your data
If you have left comments or submitted forms on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Where we send your data
Visitor comments may be checked through an automated spam detection service. Form submissions are handled through Emailgistics’ own email gateway, which feeds information to the appropriate Emailgistics team inbox (yes, of course we use our own software for this!) from where it may receive an automated response or be assigned to an individual to process your request.
